Overview

We are seeking a dynamic and highly organised Executive Assistant to support the Chief Operating Officer (COO) in managing the day-to-day operations of the organisation. This is a senior-level support role that combines executive administration with technical coordination responsibilities. The ideal candidate will serve as the COO's right hand, ensuring seamless operations and effective communication across all business units.

Job Description

Key Responsibilities

COO Office Management & Administration: Manage the COO's calendar, schedule appointments, coordinate meetings, and handle all administrative functions of the COO's office.

Correspondence Management: Draft, review, and manage all official correspondence on behalf of the COO, including emails, letters, and internal communications.

Technical Meeting Coordination: Lead and coordinate technical meetings with internal teams and external stakeholders, prepare agendas, capture minutes, and track action items.

Report Preparation: Compile and prepare executive reports, presentations, and business analyses for leadership review and board meetings.

Weekly Business Updates: Prepare comprehensive weekly project and operational updates for all business units, ensuring timely and accurate reporting.

Technical Documentation: Create, maintain, and organise technical documentation, SOPs, and process workflows in line with ISO standards.

File & Record Management: Establish and maintain an efficient filing system for all documents, contracts, and records, ensuring easy retrieval and compliance.

Senior Management Support: Assist the Senior Management Team with logistics, travel arrangements, event coordination, and other operational requirements.

Qualifications & Requirements

Education: Bachelor's degree in Technology (B.Tech) or Master of Computer Applications (MCA) from a recognised institution.

Experience: 6 to 10 years of relevant work experience in the IT industry, preferably with exposure to executive support or operations management.

Communication: Excellent verbal and written communication skills in English; ability to articulate complex technical concepts clearly.

Technical Proficiency: Strong command of MS Office Suite (Word, Excel, PowerPoint), project management tools, and documentation platforms.

Personal Attributes: Confident, proactive, detail-oriented, and able to work independently with minimal supervision. Strong organisational and multitasking abilities are essential.
